Job Description:

-The Operations Coordinator reports to the Director of Operations and is responsible for planning, directing, managing, coordinating, and supervising the programs for acquisition, assignment, utilization, maintenance, repair, replacement and disposal of fleet vehicles. Essential Duties and Responsibilities: -Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.Manage project to select a vehicle fleet management systemMaintain all aspects of vehicle fleet consisting of approximately 120 vehicles based at our various program sitesMaintain updated vehicle list and coordinate routinely with accountingOversight of online lease dashboardProcess lease renewals prior to the current lease expirationEnsure timely processing of insurance renewals, registrations etc., maintain the document files and confirm copies are placed in each respective vehicleWork with the programs to ensure routine maintenance is completed on all vehiclesEnsure the vehicles are equipped with operable GPS and safety etc. systems Manage annual on-street parking & handicap permit processManage EZ Pass accountsLiaison between organization and insurance co. when there is an accident in agency vehicle. - Ensure the appropriate people are informed and involved to completion.F/U to ensure reimbursement of vehicle violations from staff- working in collaboration with Director of administrationCoordinate with parking lots to store our vehiclesManage distribution of gas cards for each program Add drivers and distribute pin #Delete as neededManage Geotab SystemGeotab - ensuring all programs have operable geo tabsAdding/deleting drivers into the geo tab systemManage payment of property taxes for sites owned by Rising GroundManage ECB violations including representing the organization in court and processing payments etc.All special projects as assigned by Director of Operations - - -Competencies: -To perform the job successfully, an individual should demonstrate the following competencies:Strong organizational skillsStrong, advanced written and verbal communication skillsStrong computer skills (ie.MS Word, Excel, Outlook) and the ability to learn new programsStrong customer service orientationStrong multi-tasking and time management skillsStrong presentation skills and professional acumenExcellent team player with the ability to work independentlyProblem solving - identifies and resolves problems in a timely manner and gathers and analyzes information skillfully.Interpersonal Skills - maintains confidentiality, remains open to the ideas of others and exhibits willingness to try new things. Required Education and ExperienceHigh School Diploma or equivalent is requiredThe applicant must have a minimum of 3 years relevant experienceValid NYS Driver's LicenseGeneral vehicle maintenance experienceMust be proficient in Microsoft Office Suite, emails and calendaringSupervisory Responsibility: -No supervisory responsibilities -Work Environment: -While performing the duties of this job, the employee regularly works in an office setting, but can also be required to travel throughout organization sites. -Physical Demands: -Ability to carry up to 10 or 15 pounds -Position Type/Expected Hours of Work: -This is a full-time position, 35 hours per week. Monday through Friday, hours 9:00am-5:00pm. -Travel: -Will be required to travel between Rising Ground sites and offices as necessary -Preferred Education and Experience:A bachelor's degree is preferred
